This policy explains what personal information Astra Digital Invitations, a service of Astra Technology Solutions, collects, why, and what you can ask us to do with it. It covers both the people who create invitations and the guests who receive them.
1. Information we collect
From you, when you create an invitation:
- your name, email address and, if you give it, your phone number;
- the details of your event: names, dates, venues, wording, photos and music;
- your guest list, where you add one: guests' names and any contact details you enter, and the table and seat you assign them;
- a record of your order and whether it has been paid. We do not receive or store card details.
From your guests, when they use your invitation:
- their reply: names of those attending, whether they will attend and any message they write;
- well-wishes and photos they choose to send;
- technical information sent by their browser, including their IP address, and whether their personal link has been opened.
From visitors to our website: what you write in the enquiry form, and your IP address.
2. How we use it
- to create, display and deliver your invitation and to show you your guests' replies;
- to send service emails: the link to set your password, order and payment messages, reply notifications and summaries;
- to answer enquiries and provide support;
- to prevent spam and abuse, which is the reason IP addresses are recorded;
- to keep accounts and meet legal obligations.
We do not sell personal information, and we do not use guests' details for our own marketing.
3. Guests' information belongs to the host
When you add guests, or when guests reply, we hold that information on behalf of the person who created the invitation. If you are a guest and want your reply changed or removed, the host can do that from their dashboard; you can also write to us and we will pass the request on or act on it.
4. Who we share it with
- The host of an invitation sees the replies, messages and photos their guests send.
- Other guests see well-wishes and photos only where the host has chosen to show them publicly.
- Service providers that host the website, deliver email and process payments, who act on our instructions.
- Authorities, where the law requires it.
5. How long we keep it
- A draft that has not been paid for and has not been changed for 14 days is deleted with its uploads.
- IP addresses recorded with guest replies, messages, photos and website enquiries are erased after 90 days.
- A published invitation and its replies are kept until you ask us to delete them, or until we archive invitations whose event has passed.
- Order records are kept for as long as accounting rules require.
6. Cookies
We use the cookies needed to run the site: to keep you signed in, to protect forms against forgery and to remember your language. We do not use advertising or tracking cookies.
7. Security
Draft invitations are private and can only be opened with their preview link. Passwords are stored in hashed form. Access to guest information is limited to the invitation's own account and to our staff where support requires it. No system is perfectly secure, and we will tell you if a breach affects your information.
8. Your choices
You can ask us to give you a copy of your information, correct it or delete it, and you can manage your guests and their replies yourself from your dashboard. Write to info@astra-ts.com; we may need to confirm your identity first.
9. Children
The service is for adults organising events. An invitation may name or show children, such as at a birthday or baptism; the person creating it is responsible for having the right to share those details.
10. Changes to this policy
The date at the top of this page shows when this policy last changed.
